[00:00:00] Hector: M Y P fam, what's going on? My name is Hector Sania Stephan, and I am your host. And this is the show that gives you the tools, the tactics, the resources and everything else that you need to go out and grow and market a successful podcast. and I've spent the last half decade producing and marketing podcasts, learning all the things that work and also the things that don't work, and on today's show, we're gonna talk about one of the fundamental things that comes with podcasting, and that is time. And most importantly, we're gonna talk about how you can save time while podcasting And so thanks again for being here. Let's get into this.
[00:00:34] Hector: Now, time is such a hot topic for podcasters well, a lot of podcasters get into it because they enjoy getting on the mic, they enjoy talking. They enjoy doing this, which is recording and sharing their thoughts and giving their. Expertise, which I think is fantastic.
[00:00:48] Hector: What they don't realize is all of the other things that go into podcasting as well, the editing, the publishing, the show writing, the promoting the marketing, the follow up, right? The guest booking, all of these extra parts to podcasting that frankly, with other types of media, radio, television, film, things like that.
[00:01:07] Hector: Those had entire teams that were devoted to some of those things. And so now you have the podcaster who's now responsible for doing all of it. And frankly, that's why we at Amplify Media. That's why we have jobs, is because it is a lot. And so that's what we do, is we help make podcasting easy by doing all of these parts that take so much time.
[00:01:27] Hector: And so there's obviously that route where you can outsource it or you can delegate it. you can hire somebody to do. , but let's talk about if you are going to be doing it on your own, or let's talk about if you're gonna be having someone on your team do this, what are some things that they can do to save them time?
[00:01:42] Hector: Or what are some things that even you can do as a host to actually save you some time and maybe even some peace of mind. Well, as I was going through this, one of the biggest things that came up for me was the regularity of recording. And I've seen people, and I've seen hosts and I've done it myself, that record podcast interviews whenever they can, and they're almost just ad hoc whenever the schedule permits.
[00:02:05] Hector: And this is great at first because a lot of times they're able to book multiple interviews in a week. They can stack up even multiple interviews in a day, and a lot of times it feels like they're getting a lot of traction. Now, they've run into a lot of challenges though, because two things happen. The first is you record a lot of those interviews.
[00:02:22] Hector: Now all those need to be edited and they need to get up and be published and all the things that come along with that. So recording is really just the first part. Then what I've seen that happens if they persist doing this irregular schedule and just recording things whenever they want, is that they get a false sense of where they're at.
[00:02:38] Hector: I've had it where I go through this feast time where I record a ton of episodes and I say, great, I've got eight episodes lined up. Eight episodes ahead. Awesome. we're doing really. . And then quickly those eight weeks go by, or six weeks or five weeks or whatever it is, and it starts to creep up and all of a sudden I need to create more episodes again.
[00:02:57] Hector: But I don't have the consistency. I don't have the habit. So all of a sudden I've now gotta start all over again, book a bunch of guests, go through that same process, and it becomes, once again, this feast and famine thing where there is no consistency to it. Now you might be saying, well, hec. I don't wanna record every week.
[00:03:15] Hector: You know, I don't have time to re-recording all the time. And so if that's the case, let's talk about what are your two options, right? The two options are you can either do what we call batch recording, which is that you record a month's worth of content at one time, or you record even a quarter's worth of content, or I've even seen people lay down six months worth of content in one day, right?
[00:03:36] Hector: In. Sitting where they sit down and hammer out 15, 20, 25 videos even. Or obviously on a smaller scale, maybe you do two or three at a time. But the point is, is that you're doing multiple episodes at the same time, so that way it builds out what we call. Our content runway, and this is the amount of episodes that we have in front of us so that it gives us the time that we need to be able to work on them, to produce 'em, to edit them, to do all the things that we need to do in order to get them out the right way.
[00:04:04] Hector: So batch recording is one thing that people can do if they don't like the idea of doing something every single week, right? If they don't have the time, their schedule doesn't allow it, or if that's just not their style. Now what I prefer and what I've found, to record at the same time or on the same day every week.
[00:04:22] Hector: I have the benefit of, being in podcasting all day, and so I get to kind of pick and choose my days a little bit more than maybe someone if they have a regular job. but I used to record any day on throughout the week, and that was very draining. there were times where it would get in the way because.
[00:04:39] Hector: I would be working on something and then all of a sudden I have to stop and go do that interview, or I'd wanna do research or whatever it is. And so instead of recording any day, I limit it to only Mondays and Fridays. Those are the only days that I record interviews because I want to have those days blocked off both energetically for me.
[00:04:56] Hector: I want to be able to book all my calls and my recordings in one day so that way I can do all of my creative and my deep work on the other days, and then it also maintains some consistency. Now, I just interviewed Sean Tepper on the show, and if you guys haven't heard the conversation with Sean, which probably came out last week.
[00:05:12] Hector: If you guys are listening to this as this recording came out, he talks about how he has another full-time job. And so similarly though, he has two times a week during his lunch hour where he does his recording. And so because he has other full-time commitments, he has two hours a week that are blocked off and it's the same two hours every single week that people can book.
[00:05:33] Hector: And that consistency allows him to book up and to create. Once again to have that content runway. And so he is only, I believe, putting out one episode a week. And so by recording two episodes every week, he's able to get ahead a little bit. And I imagine that there are some weeks or some days where that don't get filled and this allows him to.
[00:05:51] Hector: Have some flexibility as well. So does it matter when you record? I think absolutely. That that right away is gonna save you some time and make some of these other things that we're gonna talk about so much easier.
[00:06:02] Hector: The second thing when it comes to just saving time at a high level, right? When we think about what are some, key things that podcasters should be doing is staying organized. And this is something that came up with a few podcasters that I talked to and I asked them how do they keep their podcasts organized?
[00:06:18] Hector: where do they keep all of their info? Where do they keep all of those documents or assets? And a lot of. just said, in some folders or it was kind of all over the place or even in their head, and I think that that works to an extent. But I keep coming back to this conversation with Sean because maybe it's just that he and I are very aligned in how we think, but he's got a spreadsheet that all of his episode info goes into.
[00:06:43] Hector: All of the publishing dates go into everything that. Podcast need or create goes right into that document and he has some cool automations that's set up. when things get in, things get clicked and they turn certain colors and you can do all these things. The point is, is that just having some hub, some place where you can put your episode info, it's gonna make it easy for you to know what guests are coming up.
[00:07:07] Hector: It's gonna keep it easy. For you to know when you need to start working on things, when your deadlines are, what you can start promoting, what you can start sharing on social media. All these things can happen because you can start to see the days, you can start to see the order. It also allows you to be creative with some of these things.
[00:07:24] Hector: You know, we have a variety tools that we use and we use Airtable to manage all the production for our shows because it allows for a little bit more automation. It allows us to create tasks and allows us to assign things and allows us to know when things are done and what process, what stage of the process we're in.
[00:07:41] Hector: But frankly, all this can be done right in a Google sheet. So having somewhere where you keep all that stuff organized can actually really help as. . The last thing that I think about, just at a really high level, right? What are some initial basic things that I can start to do to save myself time, to save myself headaches when it comes to producing a podcast, in addition to recording and when you record, in addition to where you keep all of this, what we would call it, editorial calendar, your content calendar.
[00:08:10] Hector: In addition to that, I would think about your production workflow, and I would think about. Simple, are you making it on yourself in order for you to edit and publish an episode? I see that a lot of podcasters, they are very adept at learning new tools and learning new things, and it's kind of the podcaster way to go in and DIY and kind of figure things out, and I think that's so valuable for people.
[00:08:37] Hector: The problem happens when podcasters. They start trying to add too many things and it starts to bog down their systems and bog down their process. And by trying to do some cool new things, they end up adding on parts of their process that end up taking them way longer than maybe it's worth.
[00:08:55] Hector: And so I would really encourage you to look at your workflow, to look at your, your production, to look at your systems and see where might I optimize this? You know, I've talked to podcasters and I've heard them going back and forth between multiple tools, taking them hours to do this when they might be able to eliminate some of that process. using a different tool, using some of the same tools, or even learning a little bit more about how they can better utilize some of the things that they're already doing.
[00:09:24] Hector: And so I just say that to take a look at your editing process to look at, take a look at your publishing systems, take a look at your show note writing, your marketing, your distribution. Where are the things where you're spending time that you feel like you're getting bogged down, and are there ways that you can optimize that?
[00:09:40] Hector: Are there. Or things that you can do to automate, delegate, I don't know what the word is for to use ai, but are there, things that you can leverage to make that a little bit easier? So Something that we're gonna talk a lot about over these. Coming little bits because we have some good news that is potentially brewing some announcements that might be coming down both personally and you know, with regards to Amplify and podcast ama.
[00:10:04] Hector: So stay tuned with that. And of course if you guys have any questions, come find me on LinkedIn, Hector Sania Steon. You can also find me on Twitter at hector Underscored podcast. . If you know another podcaster or know someone who is thinking about podcasting, we would love for you to send them this and to have 'em join the M Y P family.
[00:10:22] Hector: Hope you guys are having an amazing day, whenever this is finding you, and we'll see you guys on the next one.
